How invoicing works in VaultNow

You can create, send, and pay invoices directly inside VaultNow — no external tools needed.

✅ Your counterparty will receive it by email as PDF.
If they also use VaultNow, the invoice will appear directly in their workspace.

— This is not my first project. Before VaultNow, I launched several large products. One of them was a well-known CPA network with millions of clicks.
We also built the fintech project, creating and optimizing a large financial system from scratch, working closely with payment systems.

This experience helped us understand how to build fault-tolerant infrastructure.

✏️What inspired the creation of VaultNow?

— The main problem we saw in crypto was the chaos and the high barrier to entry. Transfers, accounting, and wallet management are all scattered across different tools.

We wanted to systematize this process and make crypto operations as clear and structured as they are in traditional banking services.

At first, we built the product for internal use. That means the system fully covers the needs of people who make payments every day.

For us, it wasn’t just about building another service — it was about solving the problems we face on a daily basis.

Topping up your Service Balance

The Service Balance is a separate balance used for service payments: transaction fees, gas costs, AML check fees. It is not taking any funds from your wallets and needs to be topped up separately.

1️⃣ Click Top Up in the Service Balance section on your Dashboard.
2️⃣ Select the network and asset for the deposit.
3️⃣Send USDT or USDC to the generated temporary wallet address.
4️⃣Once the transaction is received, the funds will automatically appear on your Service Balance.

🟣 All service fees will be covered from this balance automatically.

Service fees are minimal now: test the service with operational fees only. No subscriptions needed.

Blockchain is transparent by default, your business doesn't have to be.

Introducing Stealth Payments: send crypto payouts without revealing your wallet address on-chain.

Transfers are routed through VaultNow's infrastructure, so all your counterparties see is our system wallet address. Your wallets stay invisible to third parties.

⚙️ How to use: select Service balance as the source of payment (instead any of your wallets). Private and fully tracked in your Balance Activity as the type "Proxy transfer".
💰 You pay a standard network fee + 0,2% from the transferred amount.

Improved the categorizing of your transactions

When your team processes dozens of payments a month, manual tagging can be too much. We added preset categories to help you classify transactions consistently from the moment a payment is created.

What's new:

✅Income and Expense are now visually separated.

✅10 default categories with subcategories: Payroll, Marketing, Finance, Revenue, Funding, and more. Customize it and add any additional categories you need on the new Categories page.

✅Assign categories in Payments tab — they carry over to transactions automatically and appear at the Dashboard analytics.

✅Split a single transaction across multiple categories if needed.

✅Dashboard now shows "Income by Categories" and "Expenses by Categories" charts with filters by period and token.

✅Team access configured separately in Team settings.

A few updates requested by our users that give you more control over payments and improve security.

💰 Stealth Payments. Flexible split settings added. Choose how the payout is split: block splitting, divide into 2-3 payments, or leave it open. More control over how funds move.

〽️ Swap & transfer between internal wallets. Asset management just got easier: exchange and move coins directly from the Wallets tab, no need to create additional payments.

🔒 Improved payment confirmation. Added flexibility: users can choose how they confirm payments: via email or Telegram.

🔗 Choose the source wallet when creating a batch. To streamline team workflows, managers can now select the wallet for batch payments saving the owner time — they only need to approve.

What can be done:

1️⃣Keep some wallets private. If you have personal wallets in the workspace that your finance team doesn't need to see — just make them accessible for you only.

2️⃣ Give each manager access only to the wallets they actually work with OR make the wallet "public", that means it will be visible to all your team members with permissions to see wallets.

3️⃣ Split access by task. Run two separate payment flows in one workspace without anyone crossing into the wrong lane. If you want to separate flows by project or direction, the permissions are flexible enough to get there.
